Seitime Games Refund Policy

Overview

Seitime Games provides both recurring paid campaign sessions, and one-shot sessions such as Orion Sphere Arena (OSA). This policy outlines the conditions under which payments are authorized, processed, and refunded.

When Are Players Charged?

  • Campaigns: Sessions are funded on a subscription basis. Payment is collected through Stripes billing system. These subscriptions reserve a seat but do not guarantee a session will occur at a specific time each week.
  • One-Shots (OSA): When a player signs up, payment is authorized but not charged immediately. If the session is activated at least 2 hours prior to its start time, the authorized payment will be captured automatically 1 hour into the session.

Leaving a One-Shot Session

  • If a player cancels their signup more than 12 hours before the scheduled start, the authorization is voided and no charge occurs.
  • If a player cancels within 12 hours of the scheduled start, they will still be charged the full session fee if the session is activated.
  • Once the session begins, players can no longer cancel or request a refund.

If a GM Cancels a Session

  • If a GM cancels before activation, no player charges will be captured.
  • If a GM cancels after activation but before the session starts, any no-show players may still be charged.
  • If a GM cancels after the session has started, all players who were present will be issued a refund within 48 hours.
  • No-shows are not eligible for refunds under any condition.

If the Session Expires

  • If the GM does not activate the session at least 2 hours prior to the scheduled start time, the session will automatically expire, and no players will be charged.

Refunds for Gifted Seats

  • Gifted seats are pre-authorized when the gift is sent.
  • If the recipient does not claim the gift before the session activation window closes, the authorization is canceled.
  • Claimed seats follow the same refund rules as regular signups.

Arena Tickets

  • If you cancel more than 12 hours before the scheduled start, the credit will return to your account.
  • If you cancel within 12 hours of the start time, the credit will be forfeited.
  • If the GM cancels before the session is activated, your credit will be refunded.
  • If the GM cancels after the session has begun, credits will be refunded to players who attended, but not to those who were marked as no-shows.
